💾 Backup & Restore
Export all your settings, clients, documents and logo to a single backup file. Import it any time to restore everything — useful if you clear your browser or switch devices.
📁 The backup file is saved to your device's Downloads folder. On mobile, check Files (iOS) or the Downloads app (Android). To transfer between devices, email it to yourself or save it to cloud storage (Google Drive, iCloud, Dropbox). See the Help tab for full instructions.

📋 The Quote → Invoice Workflow

Create a Quote
Fill in the Document section (set Type to Quote), add your client details, job description, and line items. The preview on the right updates live.

Save & Send
Hit 💾 Save to store it in Documents. Then use ↓ PDF to save or print it to send to your client.

Track Status
Go to 🗂 Documents and update the quote status as it progresses: Draft → Sent → Approved.

Convert to Invoice
Once the quote is Approved, a → Invoice button appears. This copies all line items into a new invoice (e.g. Q-100 becomes INV-100) with today's date and due date pre-filled.

Invoice & Get Paid
Review the invoice, hit 💾 Save then ↓ PDF to send. Once paid, update the status to Paid in Documents.
🗂 Documents Tab
The Documents tab stores all your saved quotes and invoices. The summary bar at the top shows counts at a glance.
Open — loads any saved document back into the form for editing.
Status dropdown — change the status directly on each card without opening the document.
→ Invoice — only appears on Approved quotes. Converts and loads as a new invoice.
Filter buttons — quickly view only Quotes, Invoices, Approved, or Paid documents.
👥 Clients
Save client details once and reuse them on any document. On the Quote form, hit 💾 Save client to list to store the current client.
To load a saved client, use the Select Saved Client dropdown on the form, or go to the Clients tab and hit Use.
⚙️ Settings
Business details — your name, trade, phone, email, licence, ABN/tax ID and address appear on every document.
Logo — upload your logo (PNG, JPG or SVG). It's compressed automatically and saved locally.
Numbering — set your Quote prefix (e.g. Q-) and Invoice prefix (e.g. INV-). They share the same counter so Q-100 always converts to INV-100.
Tax — set your tax label (GST, VAT, Sales Tax) and rate. Australia: 10% GST. UK: 20% VAT. Turn off if not applicable.
Payment details — bank name, BSB/routing, account number and any extras (Venmo, PayPal etc.) appear on every invoice.
Default notes — set separate default notes for quotes and invoices. These can be overridden per job in the form.
💾 Backup & Restore
All data (settings, clients, documents, logo) is stored in your browser's local storage — it stays on your device and is never sent anywhere.
Export Backup — saves everything to a single
.json file. Do this regularly and keep a copy somewhere safe.Import Backup — restores from a backup file. Useful when switching devices or if you clear your browser data.
📁 Where is my backup file?
The file is saved to your device's default Downloads folder automatically. Where to find it:
Windows — Open File Explorer → Downloads, or press
Win + E and look in Quick Access.Mac — Open Finder → Downloads, or check the downloads icon in your browser toolbar.
iPhone / iPad (Safari) — Open the Files app → On My iPhone/iPad → Downloads. Or tap the download icon in the Safari toolbar.
Android (Chrome) — Open the Files or My Files app → Downloads. Or tap the three-dot menu in Chrome → Downloads.
🔄 Transferring to Another Device
Once you've found the file, transfer it using any of these methods:
• Email it to yourself — attach the .json file and open the email on the new device
• Cloud storage — save to Google Drive, iCloud, Dropbox, or OneDrive and open on the other device
• AirDrop (Apple) — share directly between iPhone, iPad and Mac
• USB cable — copy the file to the other device via cable
Tip: After exporting, keep a copy in cloud storage so it's always accessible from any device.
❓ FAQ
My data disappeared — what happened?
Data is stored in browser local storage. Clearing your browser data or cache will erase it. Always keep a regular backup via Settings → Export Backup.
Can I use this on multiple devices?
Yes — export a backup on one device, transfer the file, and import it on the other. There's no cloud sync, so do this manually whenever you want to move data across.
The PDF looks different from the preview — why?
Different browsers render PDFs slightly differently. Chrome and Edge generally give the best results. On mobile, use your browser's "Share → Print → Save as PDF" option.
Can I change the invoice colour scheme?
Yes — go to Settings → Invoice Colours and choose from 8 built-in themes. The preview updates live.
